360 Darts app — Privacy Policy
Last updated: 26 August 2026 · This policy covers the 360 Darts mobile app and the web app at app.360performanceacademy.com. It does not cover the 360 Tests or our giveaway — those have their own notice.
The short version. We collect what a coach needs to coach you: who you are, how old you are, what you told us about your matches, and — if you use throw analysis — a video clip. We never sell your data, we run no advertising, and there are no third-party trackers or analytics in this app. You can delete your account and everything in it yourself, from inside the app, without asking anyone.
1. Who is responsible for your data
360 Performance Academy is the data controller — it decides why your data is collected and what happens to it.
- Address: 16 Dougan Drive, Wishaw ML2 9EZ
- Privacy contact: stuart@360performanceacademy.com
- ICO registration number: ZC202265
AI ORCA LTD (a company registered in Scotland, no. SC884036) built the app, publishes it on the Apple App Store under its developer account, and operates the systems it runs on. AI ORCA acts as a processor on 360 Performance Academy's instructions and does not use your data for its own purposes. If the App Store lists AI ORCA LTD as the seller, that is why.
2. What we collect, and why
| What | Why we need it |
|---|---|
| Your account — name, email address, date of birth, and the credentials you sign in with. | To create your account, to know who a report belongs to, and to apply the right safeguarding rules for your age. |
| Your sex, recorded by your coach rather than entered by you. | Only so your reports use the right pronouns. It is not shown to other players and is not used for anything else. |
| Your player profile — profile photo, playing level, player type, goals and current focus. | To personalise your coaching and build your player card. |
| Your check-ins and match submissions — your answers about matches, practice and mindset, plus scores you give yourself for technique, nutrition, energy, movement, and pain or injury (including where it hurts). | This is the raw material your coach reads to write your reports. See section 3 — the pain and nutrition answers are treated as health data. |
| Your reports — the written coaching reports produced from your submissions. | So you can read them in the app and see your progress over time. |
| Throw analysis clips — video and its audio, plus any note you attach. | Only if you choose to use throw analysis. The clip goes to the one coach you pick — and, if you are under 18 with a linked parent or guardian, to them. Clips are deleted automatically after 90 days. |
| Parent or guardian details — their name and email address. | Required for players aged 14 and under, so a responsible adult can see what their child sees. See section 6. |
| Membership and payment — your plan, membership status and dates, the amount paid, and a reference to the payment (a Stripe reference, or an Apple transaction identifier if you subscribed inside the iPhone app). | To run your membership. We never see or store your card number. If you subscribe on the web, Stripe handles the payment; if you subscribe inside the iPhone app, Apple does. Either way we keep only a reference and the dates your membership runs between. |
| In-app tools and reflections — your answers to the diagnostic tools, and any private reflection notes you write against a task. | To give you a result you can act on and to let your coach see how the work is landing. |
| Match results you log — event, opponent, result and any note. If you name an opponent, you are recording someone else's name — please keep those notes fair and factual. | To track your competitive record alongside your coaching. |
| Messages to a coach — enquiries you send a coach from their page, the coach's replies, and anything you write when you report a comment. | To pass your message to the coach and their reply back to you. A message and its replies are kept as an ongoing conversation you can both re-read — they are not deleted once answered. If you are 14 or under, the parent or guardian linked to your account can read that conversation. The app tells you this at the point you write. Reports about a comment go to us so we can deal with them. |
| Recognitions — titles or notes your coach awards you. | Written by your coach about you, and shown only to you. |
| Community activity — posts, questions, comments, likes, wins, and leaderboard entries. | To run the parts of the app you choose to take part in. The leaderboard is opt-in — you are not on it unless you switch it on. |
| Notifications — your notification preferences, your email address for coaching emails, and a push token if you enable push. | To tell you when a report is ready or a coach has replied. You control this in the app. |
| Feedback and problem reports — anything you type into the feedback or "report an issue" forms. | To fix the app and improve the coaching. |
| Minimal in-app usage — which lessons you have completed, which reports you have opened, and clicks on links we place in the app. | So your coach can see whether you have read what they sent, and so we can tell which content is useful. |
What we do not collect
No advertising identifier. No third-party analytics or marketing SDKs. No ad networks. No location data. No access to your contacts, calendar, health app, or files other than the specific photo or video you choose to attach. We do not track you across other companies' apps or websites, and we never sell or share your data for advertising.
3. Health information
Some of what you tell us — how much pain you are in, where it hurts, how freely you can move, and how well you have eaten — is health data. UK data protection law treats this as a special category needing extra care.
We ask for it because a coach who does not know your elbow is hurting will keep telling you to throw through it. It is used for one purpose: so your coach can adjust your coaching and spot an injury pattern early.
Our lawful basis is your explicit consent, given when you complete a check-in that asks these questions. You can decline: leave the pain and nutrition questions out and submit the rest of the check-in. You can withdraw consent at any time by emailing us, and we will remove those answers from your record.
This information is visible to your 360 coaching team. It is not shown to other players. If you are under 18 and have a parent or guardian linked to your account, they can see the reports written from it — we think a parent should know if their child keeps reporting a sore shoulder, and we would rather say so plainly than bury it.
We are not a medical service. Nothing in this app is a diagnosis or medical advice — if something hurts, see a doctor or physiotherapist.
4. Our lawful bases
- Contract — running your account, delivering your membership and producing your reports.
- Explicit consent — health information (section 3), push notifications, the leaderboard, and marketing emails. Each can be withdrawn without affecting the rest.
- Legal obligation — keeping accounting records, and our safeguarding duties towards young players.
- Legitimate interests — keeping the app secure, preventing abuse, and improving it. We have weighed this against your rights and kept the data to the minimum.
5. Who else touches your data
We never sell your data. It is shared only with the providers that run our systems on our instructions, and with the coach you are working with.
- Supabase — our database, sign-in and file storage. Your data is held in the London (UK) region.
- Stripe — payments. Stripe collects your card details directly; we never receive them.
- Resend — sends our emails.
- Apple — delivers push notifications to your device, and is the seller for any subscription bought inside the iPhone app. Apple takes the payment, holds the card details, and tells us only whether your subscription is running and when it next renews.
- RevenueCat — checks with Apple that a subscription bought in the app is genuine, and tells our system which membership to switch on. It receives your account identifier and the subscription’s status and dates. It never receives your name, email, card details or any coaching data.
- YouTube and Vimeo — some coaching lessons embed video from these services. Playing one lets that provider see your IP address and set its own cookies, under its own privacy policy.
- Make.com — receives problem reports you submit from the app.
- Google Fonts and jsDelivr — serve fonts and code libraries to the app, which means they receive your IP address when a screen loads.
We will also disclose data if the law requires it, or where we must act on a safeguarding concern about a young person's welfare — which may mean telling a parent, guardian or the relevant authority. We will not ask permission first where doing so would put a child at risk.
Data leaving the UK
Your core account, coaching and clip data stays in the UK. Some providers above (Stripe, Resend, Apple, RevenueCat, Google, Vimeo, Make) process data outside the UK. Where that happens it is protected by appropriate safeguards — the UK extension to the EU Standard Contractual Clauses, or the provider's UK–US data-transfer certification.
6. Young players
This app is used by players under 18, and we design for that rather than pretending otherwise.
- Date of birth is required before you can use the app. There is no skip. We cannot protect a young player whose age we do not know.
- Players aged 14 and under must have a parent or guardian linked to the account. Without one, the account does not open.
- A linked parent or guardian gets their own scoped access — their child's reports and a parent-only library. They do not get a general view of other players.
- For players aged 14 and under, a linked parent or guardian can also read the conversations between the player and their coach. This is deliberate, it is a safeguarding measure rather than an oversight, and the app says so on screen before a young player writes anything. Players aged 15 to 17 keep their coach conversations private from the linked adult.
- Under-18s are shown age-appropriate versions of coaching content where a separate version exists.
- We do not profile children for marketing and we send them no marketing.
- A parent or guardian can exercise any of the rights in section 8 on their child's behalf by emailing us.
Our safeguarding policy is available on request from stuart@360performanceacademy.com.
7. How long we keep things
- Throw analysis clips — 90 days. Deleted automatically by a nightly job, along with the review record.
- Your account, reports and check-ins — for as long as you have an account, and then erased when you delete it.
- Accounting records — six years, as UK law requires. See below.
- Problem reports and feedback — up to two years, then deleted.
- Coach conversations — kept for as long as you have an account, so both sides can look back at what was said, and erased when you delete it.
8. Deleting your account
You can delete your account yourself, at any time, from Profile → Account → Delete my account. You do not need to email us or get permission, and there is no waiting period.
When you do, we permanently remove your sign-in credentials — you will not be able to sign in again — and we erase your name, email address, date of birth, sex, profile photo and player card; your check-ins, your coaching reports and your progress history; any video clips you have sent a coach; your reflections, results, tool answers and recognitions; anything you posted, asked or commented; your conversations with your coaches; your parent or guardian's contact details; and your notification records and push tokens.
One thing survives: a record that a payment was made and which coach it related to. UK company law requires us to keep accounting records for six years, so we cannot delete this on request. That record is stripped of your personal details and cannot be used to identify or contact you.
9. Your rights
You have the right to access your data, correct it, have it erased, object to or restrict how we use it, withdraw consent, and receive a portable copy.
Erasure is self-service in the app (section 8). For anything else, email stuart@360performanceacademy.com and we will respond within one month.
If you are unhappy with how we have handled your data you can complain to the UK Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would rather you told us first so we can put it right.
10. Security
Data is encrypted in transit and at rest. Access is enforced at the database itself — every table carries row-level rules, so a player can only ever read their own record, and a coach only the players assigned to them. Video clips and profile photos live in private storage that is not publicly reachable. Only named 360 staff and coaches have administrative access.
11. Changes to this policy
If we change how we use your data we will update this page and change the date at the top. If the change is significant we will tell you in the app or by email before it takes effect.
